System Manager → Resource Manager → Rooms
JAMES supports the management of resources for planned meetings - especially the reservation of meeting rooms and the necessary room equipment.
A corresponding input mask is available for creating rooms, with which the room data can be entered as free text input and optionally with the help of selection lists and check boxes.
The following fields are displayed:
- Status: active
- Name of the room
- Room number
- Floor
- Building / part of building
- Area of the room in sqm
- Capacity in number of persons / seats
- Is the room handicapped accessible?
- Is the room on an evacuation route?
- Required set-up time
- Person responsible for the room / responsible organisational unit
- Branch
- The room type e.g. if room parts are involved
- Available equipment / resources
- Media data such as photos or videos of the room can be stored.
- Select workflows that must be carried out when a booking is made
- Select workflows that must be executed in case of cancellation
- Select workflows that must be executed when the event ends
- Select the room terminal
- Select the door terminal
- Enter a description of the room
In principle, door and room terminals can be integrated into the system in order to display the booking or reservation status on site at the door.
The system performs a plausibility check to avoid double bookings and to take into account the necessary set-up times between meetings.
The system is able to support optimal room utilisation. This means that the room capacities are matched with the appointment data in such a way that an oversupply of resources (capacity, media, etc.) is avoided in order to prevent bottlenecks for larger meetings with high demand.
