Instructions: Adding a participant to an appointment
Enter the basic information about your guest. This includes name, surname, company, email address, mobile number but also information such as whether the guest requires barrier-free access to the building.
Indicate whether your guest requires a pick-up or escort to the appropriate room. This note can also be viewed at the reception desk. This way, the reception staff knows exactly what to do when the guest arrives.
In addition to pure information, the mobile number can also be used, for example, for other JAMES functions such as alerting in the event of an emergency.
Select whether and which parking space the guest receives. This information is also communicated to the guest by e-mail.
Do you want to be notified when your guest has checked in? Then tick the check-in notification box.
To which visitor category does your guest belong? Do they require special resources for your appointment, such as individual WLAN access?
Select which instructions must be completed and note which items the visitor is carrying. The latter can also be subsequently entered by the gatekeeper via the dashboard.
Before you click Next and complete the process, you can enter an appointment description and an internal note for the participant.
Done! The appointment is created and all participants are notified by e-mail.
